This is a summary of Ryan Duguids presentation, SharePoint Documentation Deep Dive at the SharePoint 2009 Conference.
Are you working with document management? I can imagine that it’s not been the easies task in SharePoint 2007? Well, I can promise you, you will have so much fun in SharePoint 2010. It can now actually be called a document management system or ECM for the Masses as Microsoft would like to phrase it.
Mainly what they have done is that they have made it much easier to use metadata not only for the end user but also for the IT side with the Managed Meatdata Service that I talked about yesterday. But maybe the most important in this is that the end users get something in return after spending time adding metadata. As it is today the return for spending those extra seconds each time they upload or create a document is not that much. But with Metadata navigation and better filtering it will be easy to get buy in from IW’s.
One thing that is a bit surprising is the return of folders. I believe many of us have preached towards end users not to use folders. Well now they are back as a “folder++” where you handle settings, retention periods etc.
When putting up a document center you will not only be able to handle millions of documents, it turns in to a repository that is so flexible that it actually doesn’t matter that it’s one cabinet. You will be able to structure it with all the new features. With the unique Document ID you can quickly find documents but simple improvements as select multiple documents and perform actions on them as a group like, start Workflows or update metadata is just something that has taken too long to get but now it’s here!
The integration with tagging enables you to find high rated documents and if that is not enough. What about the new drag and drop files from the explorer on the client. No more troubleshooting of the explorer view? (which is actually the most read post on my blog and that says quite much)
The ribbon and the way of updating information without reloading the page make things so much easier that it’s a pleasure updating the metadata.
As I mentioned before it’s much easier for IT (or the business) to build up a real taxonomy structure to use not only across site collections but also across farms. Parts of the Term store can then be delegated to the business to handle the vales is great. Best of all, it has multilingual support so that same content can have translations of the same thing!
The integration with the Office Client is also improved so by setting up your Office you are able to get document templates directly from your Office Client instead of first go to the site, click on new and open up the correct template to be able to start making content. Finally right?
